About the Role

 

The Office & Employee Experience Coordinator plays a key role in creating a smooth, welcoming and engaging workplace experience for our employees and visitors. This role combines office management, administrative and business support, employee experience and internal engagement.

 

You will be the central point of coordination for the day-to-day running of our Vilnius office while helping bring our company culture to life through employee initiatives, events, communications and important moments throughout the employee journey.

Responsibilities:

 

  • Oversee daily office operations, ensuring a smooth, efficient and welcoming working environment.
  • Manage office supplies, equipment and workplace essentials, including coordination of cleaning, repairs, workplace improvements and other facilities-related activities.
  • Support the Finance Manager with office inventory management and maintain accurate records of office assets and supplies.
  • Ensure office operations comply with applicable Lithuanian health and safety requirements, including maintaining required documentation and coordinating mandatory processes.
  • Coordinate practical onboarding activities for new employees and support new joiners in creating a positive and welcoming first experience.
  • Coordinate employee-related workplace benefits and practical arrangements, including mandatory medical examinations and related documentation.
  • Contribute to a positive employee experience and office culture by supporting initiatives that strengthen engagement, connection and belonging.
  • Support employee feedback initiatives, including new joiner feedback, employee ideas and other engagement tools.
  • Plan and coordinate Mediq Business Services Lithuania events, meetings, celebrations and employee engagement initiatives in line with company culture and objectives.
  • Coordinate the Employee Events Committee, gathering employee ideas and translating them into practical initiatives.
  • Maintain relevant intranet information and publish organisational updates through SharePoint, Teams and other internal communication channels.
  • Coordinate internal learning and development activities, including scheduling, registrations, logistics and employee communication.

 

 

Requirements:

 

  • Experience in office administration, workplace management, or employee experience roles.
  • Experience with supplier coordination and basic procurement processes.
  • Proficiency in Microsoft Office and SharePoint;
  • Good organizational and time management skills, ability to manage multiple workstreams and deadlines simultaneously.
  • Strong communication and interpersonal skills.
  • Helpful, proactive and responsible.
  • Familiarity with Lithuanian health and safety regulations and compliance documentation.
  • A proactive approach to problem solving and strong decision-making capabilities.
  • Excellent written and verbal communication skills in Lithuanian and English (C2 level).

Monthly Salary:

Monthly base salary for this position is from 2,200 to 2,600 Eur gross. The final offer will depend on your qualifications, competencies, and professional experience.
